Sponsorship Plan




We appreciate you taking time to consider sponsoring SQLSaturday #107 and we’ve put together some information that will tell about our plans for the event and show you how your company will benefit from sponsoring this event.


The Houston Area SQL Server User Group (HASSUG) was formed to provide a forum where Microsoft SQL Server systems administrators and developers could meet to learn, share ideas and make contact with other industry professionals. We have met monthly for over 10 years and have a very active membership. For more information about Houston Area SQL Server User Group (HASSUG), please see our website: http://houston.sqlpass.org.

Event Overview

HASSUG will host our second SQLSaturday on April 21, 2012 in Houston, Texas. SQLSaturday is a free one-day training conference that is expected to draw over 300 SQL Server professionals from Houston, Austin, San Antonio, Dallas/Fort Worth metroplex, and surrounding states.

How Much Does It Cost To Be a Sponsor?

SQLSaturday is run by volunteers and is free to attendees, but we do have significant costs to put on an event this size, including food and drink, speaker shirts, and programs. Your aid makes a successful SQLSaturday possible. Sponsorship fees must be paid at least 2 weeks in advance of our event date. To register as a sponsor just visit http://www.sqlsaturday.com/107/sponsors.aspx and fill out our sponsorship registration form. We’ll email you an invoice.


The Sponsorship levels are:

·       Friends of SQLSaturday - $50-$249

·       Bronze - $250

·       Silver - $500

·       Gold - $1000

·       Platinum - $2000

The benefits for each level of sponsorship shown below also include the benefits shown for the lower levels:

·       Friends of SQLSaturday

o   Name to be listed (if desired) in the official event guide. Logos may be included for Bronze or higher.

·       Bronze

o   Logo placement on our sponsor page on the SQLSaturday.com website

o   Inclusion in all emails and marketing materials

o   Ability to include a one page flyer in the event bag. *

o   May donate prizes for end of day raffle event.

·        Silver

o   One spot reserved in our exhibitor area with table and two chairs **

o   Inclusion of multi-page brochure, disk or flash drive in the event bag. *

·       Gold

o   One email blast - sent via SQLSaturday - to all event attendees (consisting of up to 1 page of text) that can be sent out before or after the event.

o   Two minutes at end of day session to promote company and/or raffle prizes.

o   Logo displayed on first page of HASSUG website for six months.

·       Platinum

o   Choice of table selection in exhibitor area (in order of the sponsorship received). ***

o   Option to design a sponsor-centric session to spotlight your product during lunch.

o   Logo displayed on first page of HASSUG website for one year.

o   One additional email blast - sent via SQLSaturday - to all event attendees that can be sent before or after the event.

o   Electronic copy of the list of pre-registrants, including name, company, and e-mail address. (Registrants must opt in to be included. This is encouraged on our registration page. Email sent by vendor directly to registrants must include an option to opt-out.)

* Sponsor must supply items at least two weeks prior to event date (i.e. by April 7, 2012)

** Power may be limited, please let us know your requirements ahead of time.

*** A map of the exhibit area will be provided for selection ahead of time. Sponsors will be asked to make their selection based on the order in which they signed up.      

The Raffle – Your Key to Success!

The biggest challenge with community events is capturing contact information for follow ups. Few attendees will have business cards, and having them hand write their info often leads to a 30% or higher loss due to inability to read what they wrote! We provide attendees with a set of pre-printed raffle tickets (see below) that will contain their name and email address; they are then able to put these tickets into the raffle box at each sponsor table to try to win a prize. This gives you 100% readability and 0% loss! It is also more effective than any other technique we’ve seen for trying to capture contact information and that includes scanning their name badge.

Raffle Ticket

Because we want you to be successful all of our sponsorship levels include the requirement that you provide at least one (1) prize of at least $100 in value, and that you provide a full color 8-1/2 x 11 flyer that highlights the prize(s) you are providing for the raffle. Raffle prizes are optional for Bronze level sponsors, but are encouraged.

We provide the raffle box. We will have one table for all absentee vendors placed in the same areas with our onsite vendors. Raffle ticket collection will proceed through the end of the day. If someone from your team is present we’ll ask them to draw the winning ticket, otherwise we’ll draw the ticket. Attendees must be present to win. If there is a physical prize we’ll give it to them, otherwise we’ll forward you their contact information for you to follow up with (for license keys, etc).

After the event we will mail you all the raffle tickets from your box. There may be duplicates; depending on how exciting your prize is attendees may contribute more than one ticket to your box – but that’s a good thing, they are willing to provide you their contact information in return for the chance to win. 


Event Logistics

Sponsors will be allowed into the event site 30 minutes before registration opens. Exact times for the event will be communicated closer to the event date.

Sponsor tables will be located in the same area as breakfast/lunch to make it easy for attendees to stop by your table. We encourage sponsors to remain onsite through at least lunch and if possible to have a representative available to present your prize at the end of day raffle.

Lunch will be provided to sponsors that have registered. Please have everyone from your team that will be attending register at www.sqlsaturday.com so that we can have enough food available.
