April 16, 2016
We appreciate you taking the time to consider sponsoring SQLSaturday #492. Below you will find information about plans for the event and how your company will benefit from becoming a sponsor.
Think of a SQLSaturday as a one day conference with an average attendance of 350 to 400 people. Over 50 sessions, beginner level to advanced, are offered free-of-charge to our local and national community of SQL database developers. More than 50 speakers volunteer their time to present sessions which provide an opportunity for free higher education. Some of the speakers are presenting for the first time while others are nationally renown. With an area of dedicated space for our sponsors to set up informational tables, sponsor representatives are able to interact directly with attendees. Best of all you, as a sponsor, already know that the attendees are a demographic you are highly interested in simply because they are attending SQLSaturday. Your experience at our event will be a great one because we work hard at making it so for both our attendees and the sponsors whom enable us to cover the working costs at this event.
Sponsorship ranges from $500 to $2000 depending on the package you select. You are always welcome to discuss custom plans tailored to meet your company's needs. All costs must be paid in advance to become an official sponsor. Sponsorship deadline is March 31, 2016 for the 2016 SQLSaturday event. The sooner you become a sponsor, the more opportunities for your company name to be included in our marketing campaigns!
All fees must be paid in advance. To register as a sponsor
and fill out our sponsorship registration form. You will receive an email with an invoice that can be paid via check or credit card.
The biggest challenge with community events is capturing
contact information for follow ups. Few attendees will have business cards and having them hand write their info often
leads to a 30% or higher loss due to inability to read what they wrote! We provide attendees with a set of pre-printed
raffle tickets (see below) that will contain their name and email address; they are then able to put these tickets into the
raffle box at each sponsor table to try to win a prize. This gives you 100% readability and 0% loss! It is also
more effective than any other technique we’ve seen for trying to capture contact information and that includes
scanning their name badge.
Our Silver, Gold, and Platinum sponsors are encouraged to provide a prize of at least $100 in value and a full
color 8-1/2 x 11 flyer that highlights the prize(s) you are providing for the raffle.
We provide the raffle box for all sponsors who have chosen to provide a raffle prize. We will have one table for
all absentee vendors placed in the same areas with our onsite vendors. Raffle ticket collection will proceed through the
end of the day. If someone from your team is present we will ask them to draw the winning ticket(s), otherwise we will draw
the ticket(s). Attendees must be present to win. If there is a physical prize we will give it to them, otherwise we will
forward you their contact information for you to follow up with (for license keys, etc).
Silver and Gold sponsors will scan their raffle tickets. The email list is then generated by us of all attendees who opt-ed in and entered the sponsor's raffle. Then we send this list to the sponsor company. Platinum sponsors will receive the emails of all attendees who opt-in to our event's email list.
PLEASE NOTE: The event is being held at Grand Canyon University (GCU). We will utilize two buildings: the North Dining Hall and CHSS. Registration, breakfast, and the keynote speech will be at the North Dining Hall. Sponsors will set up in CHSS where the day's sessions, lunch, and raffle will be held. A break before the first session will allow attendees to interact with sponsors as well as anytime during the day including lunch (which will be served in the same room). Sponsors may plan to leave their booth to enjoy the breakfast and keynote speech in the other building; an admin team member will remain with the speaker booths during that time.
6:00 am: Admin team arrives
6:30 am: Volunteers arrive & Doors open to Custom, Silver, Gold, and Platinum sponsors
7:30 am: Registration and breakfast begin
will be provided with one table and two chairs, and limited access to 110v power (please let us know what you need in advance).
We encourage sponsors to remain on site through at least lunch and if possible to have a representative present at the close of the event to present your prize at the end of day raffle.
Lunch will be provided to sponsors
that have registered. Please have each person from your team that will be attending register at
so that we can have enough food available. Each representative will be comped for lunch so they can just exit the PayPal page.
We hope you will support this event! Please contact us
if you have any questions.
