Welcome!

We appreciate you taking time to consider sponsoring SQLSaturday #611 Orange County in Huntington Beach, CA on April 1st 2017.  We’ve put together some information about our event in order to show you how your company will benefit from sponsoring the event.

 

Event Overview

SQLSaturday is a one-day conference put on by the local SQL User Group community, taught by expert speakers and attended by hundreds of SQL Server database professionals.  We have speakers from all over the world, bring lunch on site for everyone, and have a dedicated area set up for our attendees to meet with our sponsors.  We work hard to make our event a great experience for everyone, especially the sponsors who make it possible to put on this free to attend event by covering the operational costs of the event.  This is our 8th year hosting SQL Saturday in Orange County!  We had more than 350 people attend the last couple of years and expect 400 or more attendees in 2017 for SQL Saturday #611.  We usually have 6 or more concurrent tracks for a total of around 40 different sessions.  The event traditionally concludes with a raffle where sponsors get an opportunity to address the entire attendee audience prior to their give away.  Raffle prizes are usually valued at $100 or greater. (If you cannot be present for the raffle we will speak on your behalf and raffle off your prize for you.)  

 

Attendee Swag Bag

In light of the recent California legislation banning plastic shopping bags we plan on giving away a particularly nice, oversized and durable reusable shopping bag printed with vendor logos for the Attendee Swag Bag.  We believe it will be very popular and expect it to get used, and the logos seen, over and over by our SQL Server database professional attendees.

 

Timeline of Important Dates & Deadlines

February 1st

Deadline for sponsorship fee payment in order to have your logo on the attendee bag.

 

February 15th

Deadline to turn in a graphics file for inclusion on the Attendee Swag Bag.

 

March 1st  

Deadline to turn in a graphics file for inclusion in the Event Guide.

Deadline for Session Title & Abstract for Vendor Session (Gold & Platinum sponsors). 

March 15th

Deadline to send Marketing material for inclusion in the Attendee Swag Bag. 

March 31st

SQLSaturday Orange County 2017 Pre-Cons & Speaker/Volunteer Dinner.

To register as a sponsor just visit www.sqlsaturday.com and fill out our sponsorship registration form. We’ll email you an invoice that can be paid via credit card, check or PayPal.  SQL Saturday is a not for profit event put on by volunteers in the local SQL Server User Group community for the members of the community. Sponsor fee funds are spent on operational costs in order to make this a free to attend event.

How Much Does It Cost to Be a Sponsor?

Sponsorship ranges from $500 to $1,500 depending on the package you select.  We are always willing to discuss custom solutions to meet your needs.  Space is limited in our Vendor Showcase area and sponsorships other than Bronze are on a first come basis.  Sponsorship fees must be received by March 1st.   (Note other important dates listed above.)

Bronze Sponsorship -- $500       Does NOT include a Sponsor Table at the Event!

·         Company Logo on the attendee bag (small sized graphic) (See deadline above)

·         Company Name, Logo & URL included in the Event Guide

·         Company Name and Logo included in "Thank you" emails to all attendees

·         Raffle Box for tickets on a shared table in the Vendor Showcase (tickets mailed to you)

·         Inclusion of Company Marketing material in attendee swag bag

·         Raffle participation for additional attendee recognition

 

Silver Sponsorship -- $750 (Limited Availability)

·         Vendor table in the Sponsor Showcase area

·         Company Logo on the attendee bag (medium sized graphic) (See deadline above)

·         Company Name, Logo & URL included in the Event Guide

·         Company Name and Logo included in "Thank you" emails to all attendees

·         Raffle Box for capture of raffle tickets (vendor to scan tickets to receive contact info)

·         Inclusion of Company Marketing material in attendee swag bag

·         Raffle participation for additional attendee recognition

 

Gold Sponsorship -- $1250 (Limited Availability)

·         Vendor Presentation during the lunch time Vendor Showcase Sessions (45 minutes)

·         Vendor table in the Sponsor Showcase area

·         Acknowledgement for conjointly sponsoring lunch for attendees

·         One email sent directly to all attendees shortly before (or after) the event

·         Electronic list of all opt-in attendees contact information

·         Company Logo on the attendee bag (large sized graphic) (See deadline above)

·         Company Name, Logo & URL included in the Event Guide

·         Company Name and Logo included in "Thank you" emails to all attendees

·         Raffle Box for capture of raffle tickets (vendor to scan tickets to receive contact info)

·         Inclusion of Company Marketing material in attendee swag bag

·         Raffle participation for additional attendee recognition

 

Platinum Sponsorship -- $1,500 (Very Limited Availability)

All of the features of the Gold Sponsor roll with the additional opportunity for attendee recognition by sponsoring a meal, snack break or event pre/post party.

·         Be the “Your Company” Registration Desk and greet the attendees as they arrive

·         Be the Carbs and Coffee hero and sponsor breakfast and the afternoon break snacks

·         Be the Lunch & Learn company recognized for conjointly providing the box lunch

·         Be the Speaker/Volunteer Dinner host for the event honoring our volunteers

·         Be the After Party people and host the food and beverage for the post event party

 

The Raffle – Your Key to Success!

One of the biggest challenges with community events is capturing contact information for follow ups. Few attendees will have business cards, and having them hand write their info often leads to a 30% or higher loss due to inability to read what they wrote! We provide attendees with a set of pre-printed raffle tickets (see below) that will contain their name and email address; they are then able to put these tickets into the raffle box at each sponsor table to try to win a prize. This gives you 100% readability and 0% loss! It is also more effective than any other technique we’ve seen for trying to capture contact information and that includes scanning their name badge. 

Raffle Ticket

Because we want you to be successful, all of our sponsorship levels include the requirement that you provide a raffle prize of at least $100 in value.  You are encouraged to display the prize or at least a flyer that highlights the prize you are providing for the raffle on your vendor table.  You could also include something about your raffle in the marketing material you place in the Attendee Swag Bag we give out during registration.

We will provide you with a raffle box. We will have a shared table in the Vendor Showcase for all absentee vendors.  Raffle ticket collection will proceed through the 5th session of the day. If someone from your team is present we’ll ask them to draw the winning ticket, otherwise we’ll draw the ticket on your behalf.  Attendees must be present to win. If there is a physical prize we’ll give it to them, otherwise we’ll forward you their contact information for you to follow up with (for license keys, etc.).  After the event we will mail you all the raffle tickets from your box.

We will be holding the raffle at 4:00, just before the final session, at the end of the 3:30 – 4:00 Vendor Afternoon Snack Break so that vendors can stay until the raffle and not have to wait until the bitter end.

 

Event Logistics

We’ll open the doors to sponsors at 7:30 am. Sponsors will be provided with a table and two chairs, and limited access to 110v power (please let us know what you need in advance). Tables will be located in the same area as the registration tables and breakfast to make it easy for attendees to stop by your table. We encourage sponsors to remain on site through at least lunch and if possible to have a representative present at the raffle to promote your company and award your prize.  (We will handle it for you if you need to leave.) 

Lunch will be provided for sponsors that have registered. Please have everyone from your team that will be attending register at www.sqlsaturday.com so that we can have enough food available.

An After Party will be held immediately after the event just minutes away at a nearby bar.  Everyone is encouraged to come and continue learning and networking.
