SQL Saturday is a one day free learning event focused on SQL Server that is being organized by the
Olympia Area SQL Server Users Group (OASSUG, located at: http://olympia.sqlpass.org) and the Pacific Northwest SQL Server Users Group (http://pugetsound.sqlpass.org). Details of the event can be found at https://www.sqlsaturday.com/696/eventhome.aspx and we outline some of the key points below with a focus on sponsors.
We have five goals for this event:
Provide a first-class training experience for our attendees. Even though it will be free, we try to make it as good as or better than a similar paid for event.
Provide a great networking experience for SQL Server professionals, vendors, and employers.
Build our speaker pool. We’ve worked hard to get local speakers for the event.
Build relationships with sponsors. This event is funded entirely through donations, and we hope that you’ll see SQL Saturday as a good venue for highlighting your products, services, or just as a good place to look for SQL talent.
Building and growing the SQL Server community through free training and networking opportunities.
We have held these events in the past, so this isn’t our first time at putting on a SQL Saturday. We expect around 350 attendees and will be having 20-30 presentations for this event.
We hope you’ll support this event! Please contact us at firstname.lastname@example.org.
Our event follows the standard conference model. We plan to have 20-30 sessions across 5 or 6 tracks. Most of the sessions will run 60 minutes. Check in will open at 8 am, sessions begin at 9 am and we will close out the day around 5:00 pm with the sponsor raffle. We also will be providing a lunch free of charge to sponsors and attendees.
Upon arrival, attendees will complete the registration process and receive an event bag vender flyers and other items from sponsors, and two items that will be of particular interest to sponsors. The first will be a set of raffle tickets with their name and contact information. They will have the option to give sponsors their raffle tickets in trade for whatever free items you may be giving away, or just to enter a raffle if you’re sponsoring one. This will avoid the delays encountered while people queue to fill out a contact form at your table and it eliminates the inevitable 20-30% loss that results from not being able to read their writing.
The Raffle: If you are sponsoring a raffle, we would like the raffle to be at least $100 in value. We will be hosting the raffle at the end of the day and we hope to gather some large prizes from our sponsors, things like a Zune or Xbox, free training, free software, etc.
You will benefit from sponsoring our event as,
(2 sponsor max)
Lunch Time time presentation
Sponsor signage in each of the session rooms (vendor responsible for the signage)
One email blast to all event attendees consisting of up to 2 pages of text that can be sent out after the event
Attendee opt-in mailing list

May collect raffle tickets with attendees contact information (see page 6 for Sample Raffle Ticket) Please provide a raffle item of at least $100 in value

One table in our exhibitor area located near registration and food, two chairs, and some access to 110v power
May provide a raffle item of at least $100 in value
May donate prizes for the end of event raffle mentioned at the end of event wrap up
Option to include a one page flyer in the event bag given to each attendee upon arrival (sponsor must provide)
Logo Included in the printed event guide given to all attendees upon arrival
Listed on our sponsor page on the SQLSaturday.com web site
All items to be placed in event bags must arrive no later than Feb 1, 2018. Contact Greg Larsen (email@example.com) for shipping location. Items received after that will not be added to event bags but will be made available to attendees on a table near registration. Ship us the stuff early!
Don’t see a sponsorship plan that quite meets your needs? We’re flexible, contact us and we’ll see what we can work out. Payments will be accepted by “PASS” on behalf of Olympia Area and the Tacoma SQL Server User Groups and all the money goes to putting on this free not for profit event.
Sample Raffle Ticket
Attendees will receive a printed sheet of raffle tickets upon check in at the event if they registered more than 7 days prior to the event. Note that not all information elements may be provided by each attendee, but at a minimum, they will provide their name and a verified email address.
