Sponsorship Plan

We appreciate you taking time to consider sponsoring SQLSaturday Tampa. Sponsors are an important part of our event; we literally could not put on the event without you. If you have any questions or need a custom sponsorship package please contact us. We'll do everything we can to help you have a successful event with us. If you’re new to SQLSaturday or haven’t sponsored SQLSaturday Tampa before we encourage you to contact us before you pick a sponsorship option.

Sponsorship Plans

All fees must be paid in advance. To register as a sponsor visit www.sqlsaturday.com and fill out our sponsorship registration form. We’ll email you an invoice that can be paid via PayPal.

Base Benefits

All sponsors will receive the following base benefits when they sign up for one of our core plans:

§  Logo on our event site (listed in order of sponsorship level)

§  Logo included in all marketing messages sent to our mailing list

§  Logo and information included in the event Guidebook

The Raffle

All attendees are provided with sponsor specific raffle tickets. The more interesting your prize, the more the attendees will flock to your booth. We ask that raffle prizes be valued at a minimum of $100. Sponsors may raffle off multiple items and we encourage you to bring us low cost branded items that we can toss out while the crowd gathers for the end of day raffle drawing.  There may be duplicates; depending on how exciting your prize is attendees may contribute more than one ticket to your box – but that’s a good thing, they are willing to provide you their contact information in return for the chance to win.

Add-Ons & Upgrades

We offer a range of additional sponsorship options that can be added to a core plan. Many of these are limited to a single sponsor – request your choice(s) early! We’re always open to other ideas – email or call if you want to do something different. Our goal with this is to provide something to the attendees that is an “extra” and that they can clearly identify as being from a sponsor who wanted to “do a little extra”.

Speaker Dinner

(Limit 1)

Be the sole sponsor of the speaker, sponsor and volunteer dinner – a prime networking opportunity!

(Limit 1)

Everyone will remember the sponsor that provided donuts, bagels, and great coffee.

Afternoon Break

(Limit 1)

You pick the treat and the price – cookies, brownies, or a cupcake truck, this is the way to get the attention of the attendees.

After Party

Be the prime sponsor of our low key after party, a great place for slow conversations where you can discover if your marketing efforts during the day worked.

Get your logo on the sleeve of the speaker shirts.

All Day Seminar

Want to do an all day class on Wed, Thurs, or Fri before the event? We’ll co-market it, coordinate the meeting space and handle on site logistics – you just provide the speaker and the content !

Lunch Presentation
(Limit 2)
Vendor specific presentation during the lunch break (Limit 2, first come first serve basis)

Before the Event

We will provide you with a shipping address for any materials you wish to send approximately 6 weeks prior the event. Please clearly label boxes that we should open for inclusion in the attendee bags. Please also make sure that all members of your sponsor team that are attending register for the event – they do not need to pay for lunch, which is included in your sponsorship.

Event Day - Set Up

Silver level and higher sponsors should arrive on site between 7:15 and 7:30 am. A table and two chairs will be set up for you and labeled with the sponsor name. Any packages you shipped to us ahead of time will be delivered to your table by our volunteers. You are responsible for providing a table cover, signage, and anything else you need. Note that access to 110V power is very limited. If you require 110V power, please notify us of that need as soon as possible so that we can make arrangements for that.

We recommend that sponsors eat lunch as soon as the food is on site or wait until after the attendees have eaten – this maximizes the time you’re available during the lunch break to interact with attendees.

End of Day Raffle

The biggest challenge with community events is capturing contact information for follow ups. Few attendees will have business cards, and having them hand write their info often leads to a 30% or higher loss due to inability to read what they wrote! We provide attendees with a set of pre-printed raffle tickets that will contain their name and email address; they are then able to put these tickets into the raffle box at each sponsor table to try to win a prize. This gives you 100% readability and 0% loss! It is also more effective than any other technique we’ve seen for trying to capture contact information and that includes scanning their name badge.

Because we want you to be successful all of our sponsorship levels include the requirement that you provide a prize of at least $100 in value, and that you provide a full color 8-1/2 x 11 flyers that highlights the prize(s) you are providing for the raffle.

We will provide the raffle box for your table. We will have one table for all absentee vendors placed in the same area with our onsite vendors. Raffle ticket collection will proceed through the end of the day. If someone from your team is present we’ll ask them to draw the winning ticket, otherwise we’ll draw the ticket. Attendees must be present to win. If there is a physical prize we’ll give it to them, otherwise we’ll forward you their contact information for you to follow up with (for license keys, etc).

After The Event

After the event we will email you an electronic list of all raffle tickets that were scanned from your box.   Platinum level sponsors can opt to have our team scan their tickets, otherwise, your team will be responsible for scanning the tickets in and requesting the electronic list once complete. There may be duplicates; depending on how exciting your prize is attendees may contribute more than one ticket to your box – but that’s a good thing, they are willing to provide you their contact information in return for the chance to win.

We can also drop off any items that you need shipped at the local Fedex if it’s packaged and has a pre-paid label or account number.
