Sponsorship Plan


Welcome!

We appreciate you taking time to consider sponsoring SQLSaturday Melbourne and we’ve put together some information that will tell our about plans for the event and show you how your company will benefit from sponsoring our event.

Event Overview

Think of a SQLSaturday as a one day conference. We bring in a lot of volunteer speakers from both Australia and overseas, we have lunch on site, and we have a dedicated area set up for our attendees meet with our sponsors. We keep the cost negligible for attendees to attend therefore we need to help of our sponsors to ensure we cover the costs.

We want to make sure our event a great experience for everyone, especially our sponsors. We especially want to ensure that we meet your expectations for what you will get from being a sponsor.  

There is certainly plenty of opportunity for you to get your message out that as we’re expecting around 300 attendees at SQLSaturday Melbourne.

Room Layout

We've planned the layout of the venue to ensure that you get maximum traffic going past your table for the entire day. The Sponsor Desk area is at the entry to the refreshments room. All attendees will have to walk past your desk to and from breakfast, lunch, snacks and the closing raffle.

We believe that this provides the maximum exposure for your company and provides you with the best opportunity to engage with the delegates.

How Much Does It Cost To Be a Sponsor?

Sponsorship ranges from $750 to $2000 depending on the package you select, and we’re always willing to discuss custom solutions to meet your needs.

  • Bronze Sponsorship. $750 prepaid. This is the best package where you don't expect to have a physical presence on the day. You will still have your Logo and Name on Event website(s) and the main welcome banner that delegates will see on arrival. You can also provide some Company literature in advance which will be provided to attendees on arrival in an event bag. 
  • Silver Sponsorship. $1500 prepaid. This is our base level sponsorship where you want to have a physical presence at the event. We will provide a table, 2 chairs and a power lead between 4 and 6 sockets. As for the bronze level, you will have your Logo and Name on Event website(s) and the main welcome banner that delegates will see on arrival and you can also provide some Company literature in advance which will be provided to attendees on arrival in an event bag. We would expect you to provide a raffle prize which allows you to collect personalised raffle tickets from the attendees (see below). We'll have one of your representatives draw the ticket and present the prize and ensure the photo with the winner is tweeted.
  • Gold Sponsorship. $2000 prepaid. This is our premium sponsorship level. In addition to all of the benefits of the Silver Package, your table will be nearest to the entry doors providing the best exposure to delegates. We also name the session rooms after our Gold Sponsors and you will also be able to present a session in your named room during the lunchtime break. As rooms are limited, there will only be a fixed number of Gold Sponsorship options available.

Additional Packages

We also have a number of options which can target a specific set of the attendees.

  • After-Party Sponsorship. AU$1500 (US$1200) prepaid. Would you like to engage with some of the attendees on a more social level?  If so then you should consider becoming the After-Party Sponsor. At the end of the day we move down the street to a local hotel with finger food and an open bar for some extended networking and conversation. We also save a couple of the raffle draws for the After-Party, which may include your raffle prize if you wish (if you are also a Silver or Gold sponsor, we'll give you the option of where to draw the winner). You will receive extra acknowledgement of your sponsorship through announcements and speeches at both the main event and the after party. You can also make an additional speech at the after party.
  • Speaker Dinner Sponsorship. AU$500 (US$400). This event happens on the Friday evening and serves as both an induction for the speakers as well as an opportunity for them to network with each other. Sponsorship of the Speaker Dinner will permit up to 2 of your staff to attend and have the opportunity to speak about your products/services to some of the top experts in the SQL Server community.  Food and drink are included for your staff.
  • Customised Package. Do you have something else in mind that would suit you? Get in touch with your proposal and we'll see if there is a way to fit it in.

All fees must be paid in advance. To register as a sponsor just visit www.sqlsaturday.com and fill out our sponsorship registration form. We’ll email you an invoice that can be paid via credit card, cheque or Bank Transfer.

The Raffle – Your Key to Success!

The biggest challenge with community events is capturing contact information for follow ups. Few attendees will have business cards, and having them hand write their info often leads to a 30% or higher loss due to inability to read what they wrote! We provide attendees with a set of pre-printed raffle tickets (see below) that will contain their name and email address; they are then able to put these tickets into the raffle box at each sponsor table to try to win a prize. This gives you 100% readability and 0% loss! It is also more effective than any other technique we’ve seen for trying to capture contact information and that includes scanning their name badge.

Raffle Ticket

Because we want you to be successful our main sponsorship levels include the requirement that you provide a raffle prize of at least $100 in value. We will also provide the raffle boxes with your logo and a full colour picture that highlights the prize(s) you are providing for the raffle.

We will have one table for all absentee sponsors placed in the same areas with our onsite sponsors. Raffle ticket collection will proceed through the end of the day. If someone from your team is present we’ll ask them to draw the winning ticket, otherwise we’ll draw the ticket. Attendees must be present to win. If there is a physical prize we’ll give it to them, otherwise we’ll forward you their contact information for you to follow up with (for license keys, etc).

After the event we will mail you all the raffle tickets from your box. There may be duplicates; depending on how exciting your prize is attendees may contribute more than one ticket to your box – but that’s a good thing, they are willing to provide you their contact information in return for the chance to win.

Event Logistics

We’ll open the doors to sponsors at 7:30 am. We encourage sponsors to remain on site through at least lunch and if possible to have a representative present at the end of the day to present your prize at the end of day raffle.

Lunch will be provided to sponsors that have registered. Please have everyone from your team that will be attending register at www.sqlsaturday.com  and also email us the list so that we can have enough food available.
